Flexible solutions are available for incorporating existing inventory and patient data into EncompassCryo. Practices can train internal staff for migration or utilize our experienced embryology team for data entry and barcode implementation, ensuring a seamless transition.
Device-Level Inventory Management
Each device can be scanned to record actions such as thawing, discarding, or transfer to long-term storage. All actions are time-stamped and user-traceable, with comprehensive reporting to support audit and compliance requirements.
Automated Billing Integration
EncompassCryo supports customizable billing frequency and pricing by sample type. Billing can be automated based on freeze dates and adjusted by billing date. The platform integrates with Elavon for secure payment processing, ensuring sensitive payment data is stored externally to reduce liability while maintaining operational efficiency.
Document Management & Secure Sharing
Secure upload and storage of key documents are supported at both the patient and sample cohort levels, including infectious disease results, cryopreservation records, consents, and PGT reports. Documents remain linked to inventory and can be shared externally via secure email with one-time passcode (OTP) authentication.
Enhanced Inventory Detail & Customization
The system supports highly customizable data fields, including PGT results, oocyte and sperm sources, donor tracking, device type, storage location (tank and canister), and assigned lab staff. Default field settings and a “copy across” feature streamline data entry for cohort-based samples, improving efficiency and consistency.
Bulk Shipment & QR Code Integration
For long-term storage transfers, EncompassCryo quickly generates bulk shipment lists accessible via QR code. This enables secure and efficient data sharing with storage facilities while eliminating manual record compilation and transmission.
Integrated Witnessing & Tracking
Barcode labels can be linked with witnessing systems (e.g., RI Witness), enabling seamless tracking of inventory for billing, sample disposition, long-term storage status, and other key lifecycle events.
